Tips on using Quickbooks shortcut keys

Quickbooks makes business accounting a simple and easy task that anyone can perform. Even if you have no prior accounting experience, this user-friendly software will walk you through all of the necessary steps. 

Learning the different shortcut key combinations, however, will give you an upper hand by allowing you to work without taking your hands off the keyboard. This results in faster, easier accounting, and that's something we can all take advantage of.

Let me first start off by saying that Quickbooks tweaks and modifies their shortcut keys from year to year. Even if a certain shortcut combination worked last year, it may not work again this year. The company remains dedicated to creating the best possible user experience, and improving their shortcut keys is one of the many improvements they make. The shortcut key combinations mentioned here are all updated for the year 2013.

Find window


Ctrl+F opens the “Find” window. From here, you can search transactions, clients, documents, etc. for a particular keyword or key phrase. As your business expands, you'll likely need to go back through your Quickbooks account in search of various transactions. Instead of opening and analyzing each individual transaction, you can use the Ctrl+F command to instantly search your account. It's a simple yet highly beneficial shortcut that's sure to save you time and energy.

Create invoice


Want to create a new invoice without moving your mouse over to the tab? If so, simply type Ctrl+I to open up the “Create Invoice” window. This will take you to the invoice screen where you can choose billing for existing or new clients. Invoices are a huge part of accounting, so you'll likely be hitting this shortcut quite a few times. Don't worry about it changing in the upcoming years, as Ctrl+I is almost certain to remain the invoice shortcut.

Customer Center


Typing Ctrl+J on your keyboard will pull up the “Customer Center” within your Quickbooks account. Without this shortcut, users are forced to click on “Customers” followed by “Customer Center.” Of course, this nifty little shortcut bypasses this by instantly sending you to the Customer Center. From here, you can add and/or edit jobs and clients.

Undo


The undo button is arguably one of the most important shortcuts in Quickbooks. Just like most word processors, the shortcut is Ctrl+Z. If you happen to insert the wrong client name, transaction amount, date or any other information, use this shortcut to erase the erroneous entry. Remember, though, you may have to hit Ctrl+Z several times depending on the amount of letters/digits in the entry.

Chart of accounts


Another helpful keyboard shortcut that's certainly worth mentioning is the “Chart of Accounts.” Typing Ctrl+A into your keyboard will instantly pull this up within your account. As the name suggests, this allows you to see all of your clients in a simple chart form. You can even export the Chart of Accounts into an Excel document for later reference. Ctrl+A is a highly useful shortcut that every Quickbooks user should learn.
